The Role:

We are looking for a Rooms Controller to join our Front Office Team. Strong communication skills, the ability to multitask under pressure, and work within a team environment are integral to the success of this role. The Rooms Controller will support the Front Office by serving as the liaison between Front Office, Sales, Reservations, Housekeeping, Engineering and Food & Beverage. Having a strong understanding of hotel property management systems, and hotel operational systems (Loyalty programing, Guest chat and ticketing systems) will be essential to the success of the Rooms Controller.

Job Duties:

  • Manage the room inventory and accurate assignment of guest rooms.
  • Pre-assign rooms for upcoming reservations by balancing room categories and strategically blocking arrivals behind departures to maximize occupancy.
  • Prepare for upcoming group arrivals by reviewing group agendas and coordinating rooming preferences, blockings, and any special billing or reservation requests.
  • Coordinate room assignments to balance inventory and optimize occupancy.
  • Review arrival plan of the coming business day and ensure profiles are updated correctly and merged accordingly.
  • Manage pre-arrival preparations for Bonvoy Elite Members, VIPs, and Suite Night Award bookings, including correspondence and room allocation.
  • Manage and oversee rooms on queue.
  • Identify, resolve, and communicate any oversell categories or dates in PMS Opera – during the shift ensure house is balanced and in case difference occur process corrective measures and communicate with Front Office Manager and Revenue Manager.
  • Attend Agenda meetings to ensure all group blocking requests are met.
  • Organize and coordinate check-in/pre-registration procedures for arriving groups.
  • Communicate with guests to ensure optimal room assignments that meet their preferences.
  • Liaise with Maintenance and Housekeeping to ensure Out of Service & Out of Order status is communicated and updated accordingly
  • Manage room moves and coordinate back-to-back reservations efficiently.
  • Coordinate and ensure timely delivery of guest room amenities.
  • Act as a resource for the Front Desk team by covering breaks and providing support during peak periods.
  • Assist Switchboard during high-volume periods by efficiently handling internal and external calls to maintain smooth operations.
  • Review all Customer Care Cases in GXP on an hourly basis– distribute and action accordingly – case to be closed within 48 hrs.
  • Ensure all Suite Night Award cases are processed and closed once the corresponding reservations have been updated.
  • Manage mobile check-in and check-out reservations, ensuring updates are processed, the Front Office team is notified, and all mobile check-outs are carried out.
  • Issuing room keys via Mobile Key, or in person to guests.
  • Transmit and respond to messages through GXP Chat and Kipsu messenger.
  • Support the onboarding and training of new Front Office team members.
  • Generate and manage new guest reservations.
  • Maintain active communication with Housekeeping and Engineering regarding room status and coordinate preventative maintenance planning.
  • All other duties as assigned

Employment Experience and Educational Requirements:

  • Friendly and outgoing personality with a passion for excellent guest service.
  • Serve as an Ambassador for the Front of House and Hotel.
  • Hospitality Degree in Tourism Management or Hotel Management is an asset.
  • Previous hotel Front Desk experience (strongly preferred).
  • Previous experience working with Housekeeping or Inventory Management
  • Guest Service Experience required.
  • Experience in using POS, Opera, Marsha or related operating systems.
  • Be familiar with reservations, rooms control and basic room inventory.
